This AGM Survival Guide outlines what you need to know to feel prepared and confident on meeting day. From voting on leadership positions to considering proposed bylaw amendments, your participation matters. Whether attending in person or online, the information below will help you make the most of this year’s AGM.

Registration
- If you’re attending online, you will need to log onto FVREB Connect and click the meeting link prior to 9:00 a.m. to be eligible to vote (if you are a voting member).
- Attending in person? Members can register in person as early as 7:30 a.m. Please have your membership card ready for registration. Be sure to give yourself enough time before the in-person cutoff. If you think you might be delayed, you can always join online in advance starting at 7:30 am and then pick up your clicker whenever you arrive.
Reminders about proxies:
- Active and eligible members can authorize another eligible member to vote on their behalf.
- Each member may carry one proxy.
- Access to the proxy assignment and authorization process for the 2026 FVREB Annual General Meeting is on FVREB Connect
- The deadline to submit proxy requests is 4:30 p.m., Tuesday, March 10, 2026.
Be Prepared to Vote
- Review the list of candidates outlined in eMemo #4370.
- Visit the Candidates page on FVREB Connect to read available candidate profiles.
- Review the proposed bylaw amendments shared in eMemo #4365.
- Take time in advance of the AGM to understand what you are voting on and who is running for Chair-Elect, Vice Chair, and Director positions.
- Consider all the information available to you before casting your vote.

What’s for breakfast? Will bacon and eggs be served?
You bet! Vegetarian and gluten-free options will also be available. Come early and enjoy breakfast in the dining room on the main floor. Breakfast starts at 7:30 a.m.
In-person AGM Checklist
☑– Bring your membership card if you are attending in person.
☑ – Come early, park your car, and DO NOT PAY FOR PARKING. Complimentary parking is available at the Sheraton Guildford Hotel, with overflow parking available at the Board office.
☑ – Check-in/register with FVREB Staff, eligible members must register no later than 9:15 a.m. to vote.
☑ – Have breakfast, it’ll be available starting at 7:30 a.m.
☑ – Mingle with other members until 9:00 a.m.
☑ – Head to the meeting room where the AGM will take place.
☑ – Turn your mobile device on silent and get ready for the 2026 AGM.
Online AGM checklist
☑ – Days before the AGM, bookmark the AGM page on FVREB for easy access.
☑ – Test your equipment’s microphone, listening device (earphones or speakers) and camera ahead of the meeting time.
☑ – Download or update your Zoom app before the meeting.
