After two years of virtual meetings, many of us have forgotten how in-person AGMs work — or maybe you’ve never attended in person. Don’t worry! We’ve created a handy-dandy guide to help you navigate our first hybrid AGM.
Will the AGM be different from last year?
Last year, members were able to attend the AGM from the comforts of their homes, offices or even in their cars (not while driving, of course). This year, members can come to our new location, the Sheraton Guildford Hotel, located at 15269 104 Avenue to enjoy a nice breakfast, network with fellow members, and learn about the latest updates from the Board. And, have your say by electing your directors and voting on key a Board resolution.
Registration
- If you’re attending online, you will need to log onto FVREB Connect and click the meeting link prior to 9:15 a.m. to be eligible to vote (if you are a voting member).
- Attending in person? Members can register in person as early as 7:00 a.m. Please bring your membership card for registration.
Reminders about proxies:
- Active and eligible members can authorize another eligible member to vote on their behalf.
- Each member may carry one proxy.
- Members carrying proxies must have a printed and completed 2023 proxy form at the time of registration.

Breakfast
What’s for breakfast? Will bacon and eggs be served?
You bet! Vegetarian and gluten-free options will also be available. Come early and enjoy breakfast in the dining room upstairs. Breakfast starts at 7:30 a.m.
In person AGM Checklist
☑– Bring your membership card if you are attending in person.
☑ – Come early, park your car, and DO NOT PAY FOR PARKING
☑- Register your license plate with FVREB staff at the registration table.
☑ – Check-in/register with FVREB Staff, eligible members must register no later than 9:15 a.m. to vote.
☑ – If applicable, bring a printed and completed 2023 proxy form (max. 1 proxy per member).
☑ – At the meeting, pick up a few of our AGM essential documents and read the 2022 Annual Report.
☑ – Have breakfast, it’ll be available upstairs starting at 7:30 a.m.
☑ – Mingle with other members until 9:00 a.m.
☑ – Head to the meeting room where the AGM will take place.
☑ – Turn your mobile device on silent, and get ready for the 2023 AGM.
Online AGM checklist
☑ – Days before the AGM, bookmark the AGM page on FVREB for easy access.
☑ – Test your equipment’s microphone, listening device (earphones or speakers) and camera ahead of the meeting time.
☑ – On March 23, join the AGM. Voting members must log in by 9:15 a.m. to be eligible to vote.
☑ – Get comfortable and gear up for the 2023 AGM.
