AGM 2020: You can’t miss it!

You won’t want to miss this year’s Annual General Meeting (AGM) on February 19 and this year you won’t have to. The AGM will be significantly different this year thanks to the launch of remote participation and voting, that will make our AGM more inclusive and flexible than ever before.

For those who are too busy on the beaches of Mexico or running a business from your home or office, you are now able to be part of the AGM as observer, participant and voter.

As long as you have an Internet connection and a device, it’s the next best thing to being there. And you will want to be a part of it, as this year the Board is proposing some innovative and important Special Resolutions for the FVREB’s By-law Amendments.

How to RSVP for the AGM

If you are attending the AGM in person, you must RSVP through the TLC calendar to guarantee there is enough seating and breakfasts for everyone. Of course if you are attending remotely, you do not need to RSVP.

Registration changes for AGM 2020

Changes to the registration process are necessary to enable all voting members to vote simultaneously, whether doing so remotely or with their clickers at the meeting taking place, as usual, at the Coast Hotel and Convention Centre in Langley.

Whether participating at the meeting, in person or remotely, you must either register in person or log in to the FVREB remote dashboard between 7 am and 9:15 am on Wednesday, February 19.

As always, only those active members who are eligible will be able to vote. All other members may attend and participate in the AGM, but not vote (i.e. probationary active members).

Attending in person?

We implore you to note the new cut-off for voting registration this year at 9:15 am on the day of the AGM. That’s a cut-off time that we must impose to make remote voting possible for members who can’t be there in person.

On-site registration will be open from 7 am to 9:15 am. If you miss the registration window, you may still attend, but will not be able to vote.

Those attending in person may carry one proxy and vote using the clickers you are familiar with from previous AGMs.

Attending remotely?

To join remotely and let your voice be heard at the meeting, you will log into the FVREB remote dashboard through REALTOR Link® using your usual Board log- in and password.

If you plan to vote remotely, you must log in to the dashboard between 7 am and 9:15 am. When you log in, it’s the equivalent of registering at the meeting.

If you have logged in before 9:15 am and then somehow lost your connection, simply log in again. As long as you are logged in before 9:15, there shouldn’t be a problem. However, if you miss the 9:15 am cut-off, you won’t be able to vote; only observe the meeting via live stream.

Obviously the bigger the screen, the better the experience, especially the voting process. But it’s possible to observe, comment and vote using a smart phone, tablet or desktop computer, as long as you’re online.

Participating remotely

Last year we live-streamed the AGM, which was well-received by members. But this year we’ve ramped it up by providing a new way for members participating remotely to voice their comments via text, through an FVREB custom dashboard.

How will that work? A team of moderators will monitor questions and comments coming through the dashboard. And if you request your comment to be shared with the assembly, our reader will be there with a microphone to voice your comments live in the meeting.

Voting remotely

It’s so simple that the voting tool for the AGM is called Simply Voting. You won’t have to download anything, it’s available once you log-in to the custom FVREB dashboard. Remember, you must log in prior to 9:15 am on the morning of Wednesday, February 19 to be eligible to vote during the meeting.

We gave members a run-through of Simply Voting at our October Breakfast Meetings. But if you missed it or want a review, check out this overview on REALTOR Link®.  More details will be provided ahead of the meeting. You can review the voting policy, also on REALTOR Link®.

Meeting agenda

The AGM will officially begin at 9 am. This year’s meeting will include presentations from the President, CEO and special guests. The financial statements will be presented and there will be five By-law Resolutions to be voted on. As well, members will elect incoming directors and officers.

We hope you’ll be there, one way or the other!
